What a clean monthly close looks like for an agency owner

A “close” is not a PDF dumped in your inbox whenever someone gets around to it. It is a monthly checkpoint: accounts reconciled, statements produced, exceptions reviewed — so you can decide with numbers, not a bank-app vibe.

Here is what that looks like when it is working for an insurance agency.

The package you should expect

Every month, after the books are actually closed:

  • Profit & Loss — income and expenses for the month (and YTD, if you use it)

  • - Balance sheet — what you own, what you owe

  • - Cash flow — how cash moved, not just “profit on paper”

  • - Reconciled bank and credit cards — not “we categorized most of it”

If you only get a P&L and the cards are still open, that is not a close.

A simple cadence

  1. Connect — bank and cards feeding QuickBooks

  2. 2. Organize — transactions categorized the way an agency actually spends and gets paid

  3. 3. Review — humans look at flagged and odd items

  4. 4. Report — statements generated

  5. 5. Advise — plain English on what changed and what to watch

The point is predictability. You should know when the package arrives, not hunt for it.

What “closed” actually means

  • Banks and cards match statements

  • - Obvious duplicates and miscategorizations are cleaned up

  • - Owner draws vs operating expenses are not a jumble

  • - You can answer: profit this month, cash on hand, whether expenses are creeping

You should not need to live in QuickBooks to get those answers.

Why agencies skip this — and pay for it later

Close gets delayed because “we’re waiting on a statement, “busy season,” or “the bookkeeper will catch up at tax time.” That is how you over-hire, under-save, or walk into tax prep with a mess.

A late close is still better than none. A regular close is what changes how you run the office.
