83 Oak provides online bookkeeping for small businesses in the United States. Our sites are meant for business use by adults in the United States.

If you do not agree with this Privacy Policy, please do not use our sites.

1. What we collect

Information you give us

We only ask for what we need. Depending on how you interact with us, we may collect:

•

Contact details, such as your name, email address, phone number, and mailing or billing address.

•

Business details, such as your business or organization name, your website, and information you choose to share about your business and your bookkeeping needs.

Scheduling details, such as the date and time you pick for a call or consultation and your answers to any questions on a scheduling form.

•

Messages, such as what you tell us in forms, emails, texts, and calls, and our notes from calls.

•

Communication preferences and consent records, such as whether you agreed to receive texts or marketing emails, and when.

•

Payment details. When you pay us, your payment information is collected and processed by our payment processor, Stripe. 83 Oak does not see or store your full card number. We receive only limited details, such as the card brand, the last four digits, and the expiration date, along with a record of what you bought and paid.

•

Client information. If you become a client, the financial records and account access you share with us (see Section 7).

Information we collect automatically

When you visit our sites or open our emails, we and our service providers may automatically collect:

•

your IP address and the general location (city or region) it points to;

•

device and browser details, such as your device type, browser, operating system, time zone, and language setting;

•

usage details, such as the pages you view, the page or ad that brought you to us (including campaign tags in links), the actions you take on our pages, and the date and time of your visit; and

•

email engagement, such as whether you opened our emails or clicked links in them.

We collect this using cookies, pixels, and similar technologies. See Section 6.

Information from other sources

We may also get information about you from:

•

people who refer you to us;

•

advertising partners and social media platforms, for example when you interact with our ads or pages; and

•

public sources, such as business directories and professional licensing records, which we may use to reach out to businesses.

2. How we use information

We use personal information to:

•

provide the free resources, tools, and other content you ask for;

•

schedule and hold calls and consultations, and send confirmations and reminders;

•

answer your questions and requests;

•

decide whether our services fit your business, and send you proposals or pricing;

•

process payments and manage billing;

•

provide our bookkeeping services if you become a client;

•

send you service messages, such as confirmations, reminders, receipts, and account updates;

•

send you marketing emails, and marketing texts if you have agreed to receive them (see Section 5);

•

understand how people use our sites, and improve our sites, our services, and our marketing, including measuring how our ads perform and showing our ads to people who may be interested;

•

prevent fraud, spam, bots, and misuse, and keep our sites secure; and

•

follow the law, respond to legal requests, and enforce our agreements.

We may also use information for other purposes we tell you about when we collect it, or with your consent.

3. Where your information is kept

We use a customer relationship management (CRM) and marketing platform to run many of our forms, scheduling tools, landing pages, and checkout pages, and to send our emails and texts.

•

When you submit a form, schedule a call, or buy from us, your details are saved to a contact record in that platform. Your record may also show your scheduled calls, form answers, communication preferences and consent, how you found us, the emails and texts we send you and whether you opened or clicked them, and limited payment details.

•

The platform may also record analytics about how people reach and use our forms and scheduling pages, such as the referring page, campaign tags, and device and browser type.

•

The platform stores and handles this information as a service provider (processor) on our behalf, under its own terms and privacy commitments.

4. How we share information

We do not sell your personal information. We do not share personal information with third parties for their own marketing purposes.

We share personal information only as described below.

Service providers

We use other companies to help us run our business. They get personal information only as needed to do work for us. These include:

•

a CRM and marketing platform for forms, scheduling, landing and checkout pages, and email and text delivery;

•

a payment processor (Stripe) and digital wallet providers you choose at checkout;

•

website hosting and content delivery providers;

•

analytics providers that help us understand site traffic and performance;

•

advertising partners, such as social media platforms (including Meta, which runs Facebook and Instagram), that help us measure and show our ads (see Section 6);

•

security and anti-spam providers that protect our forms and checkout from bots and fraud;

•

web font and similar content providers that load parts of our pages;

•

email and productivity software for our business email and files; and

•

accounting and bookkeeping software used to provide services to our clients.

At your direction

We share information with people you ask us to share it with, such as your CPA or tax preparer.

Legal reasons and protection

We may disclose information if we believe in good faith that the law, a subpoena, a court order, or other legal process requires it, or that it is needed to protect the rights, property, or safety of 83 Oak, our clients, or others.

Business transfers

If 83 Oak is involved in a merger, acquisition, financing, reorganization, or sale of all or part of its business, personal information may be transferred as part of that deal. We will ask any buyer to honor this Privacy Policy.

De-identified information

We may share information that has been combined or de-identified so it no longer identifies you or your business.

All of the categories above exclude text messaging originator opt-in data and consent. This information will not be shared with any third parties.

5. Text messages and email

Text messages (SMS)

When you give us your mobile number and agree to receive text messages from 83 Oak, for example by checking a consent box on one of our forms, you agree that we may send you texts at that number. Our text consent boxes are always optional and unchecked by default. We never pre-check them. Depending on what you agreed to, our texts may include:

•

service and transactional texts, such as appointment confirmations and reminders, replies to your requests, and account or billing updates; and

•

marketing and promotional texts, such as offers, updates, and news about our services, which we send only if you have specifically agreed to receive them.

Texts may be sent using automated technology.

If you do not check a text consent box, we will not send you any text messages. This is true even if you give us your phone number on a form.

•

Consent is not a condition of purchase. You do not have to agree to receive texts to buy anything from us.

•

Message frequency varies.

•

Message and data rates may apply.

•

To opt out, reply STOP to any text. We will send one message confirming you have been unsubscribed, and then stop texting that number. You can opt back in by replying START.

•

For help, reply HELP, or email us at support@83oak.com.

•

Carriers are not liable for delayed or undelivered messages.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. We do not sell, rent, or share mobile phone numbers or text message opt-in consent. Text messaging originator opt-in data and consent will not be shared with any third parties.

If you opt out of texts, we may still contact you by email or phone about a call you scheduled, a purchase, or a request you made.

Email

We may email you about content you asked for, your scheduled calls, your account, and our services.

•

Every marketing email includes an unsubscribe link and our postal address.

•

To stop marketing emails, click unsubscribe in any marketing email, or email us at support@83oak.com. We will process your request within 10 business days.

•

Even after you unsubscribe, we may still send transactional and service messages, such as confirmations, receipts, account notices, and changes to our terms or policies.

6. Cookies, pixels, and analytics

Cookies are small text files a website stores on your device. Pixels, tags, and similar technologies are small pieces of code on a web page or in an email that report when something happens, such as a page view or a form submission. We and our service providers use them for:

•

Essential functions: running forms, scheduling, and checkout, keeping sessions working, and protecting our sites and payments from bots and fraud.

•

Analytics: understanding how many people visit, which pages they view, and how our sites perform. Some of our analytics tools do not use cookies.

•

Advertising: measuring how our ads perform and showing our ads to people who may be interested, including people who have visited our sites.

Cookies can last from a few minutes to a year or more, depending on their purpose. A cookie set on one of our sites may also be sent when you visit our other sites on the same domain.

Advertising pixels and social media platforms

Some of our pages use advertising pixels from social media platforms, such as the Meta pixel (Facebook and Instagram). When you visit those pages or take actions on them, such as viewing a page, submitting a form, or scheduling a call, the pixel may send the platform your IP address, browser and device details, the page address, the action taken, and cookie identifiers. The platform may connect this to your account on its service. This means third parties may collect information about your online activities over time and across different websites when you use our sites. Each platform's use of this information is covered by its own privacy policy.

Your choices

•

Browser settings. Most browsers let you block or delete cookies. If you do, some parts of our sites, such as forms, scheduling, or checkout, may not work well.

•

Social media ad settings. You can control how Meta uses your activity to show you ads at https://www.facebook.com/adpreferences. Other platforms offer similar settings.

•

Industry opt-outs. You can opt out of interest-based ads from participating companies at https://www.aboutads.info/optout and https://optout.networkadvertising.org.

•

Do Not Track and Global Privacy Control. Some browsers send a "Do Not Track" signal. There is no common standard for it, so our sites do not currently respond to it.

7. If you become a client

When you become a client, we handle your financial records on your behalf and under your instructions. These records may include bank and credit card statements, receipts, invoices, and similar documents, plus access you give us to your accounting software. We use them only to provide our services to you, keep our own required business records, and follow the law. We do not use client financial data for marketing.

Please share only the records we need. Make sure you have the right to share any information about other people in your records, including under any agreements you have with others.

If you connect accounting software or bank-feed tools, those tools are run by their own providers and follow their own privacy policies.

8. How long we keep information

We keep personal information only as long as we need it for the purposes in this policy, or as long as the law requires. Our general guidelines are below.

•

Leads who do not become clients (form, scheduling, and resource sign-up details): up to 24 months after your last interaction with us, then deleted or de-identified.

•

Unsubscribe and STOP records: kept for as long as we send marketing, so we keep honoring your choice.

•

Text message consent records (what you agreed to and when): at least 5 years after your last text from us.

•

Payment and billing records: 7 years, for tax and accounting purposes.

•

Client records and engagement files: the length of the engagement plus 7 years, unless the client agreement says otherwise.

•

Emails and call notes with non-clients: up to 3 years.

•

Cookies: each cookie expires on its own schedule, from minutes to a year or more.

•

Analytics and advertising data held by our providers: kept under their own retention settings and policies.

When we no longer need information, we delete it or de-identify it. Backup copies may remain for a short time until they are overwritten.

9. How we protect information

We use reasonable administrative, technical, and physical safeguards to protect personal information from loss, misuse, and unauthorized access. For example, card details are handled by our payment processor, our forms and checkout use bot protection, and access to our systems is limited to people who need it.

No website, internet transmission, or storage system is completely secure, so we cannot guarantee security. If you think your information has been compromised, please tell us right away at support@83oak.com.

If a security breach affects your personal information, we will notify you as the law requires.

10. Your choices and rights

What you can ask us to do

You can:

•

Opt out of marketing. Click "unsubscribe" in any marketing email, or reply STOP to any text.

•

Access your information. Ask what personal information we hold about you and get a copy.

•

Correct your information. Ask us to fix anything that is wrong or out of date.

•

Delete or remove your information. Ask us to delete your information and remove you from our CRM and lists.

To make any of these requests, email legal@83oak.com with the subject line "Privacy Request." Tell us what you would like us to do. We may need to confirm your identity before we act.

About removal requests. When we remove you, we delete your contact record and ask our service providers to do the same where they hold it for us. We keep a small record (such as your email address or phone number and the date of your request) on a do-not-contact list, so you are not added back by mistake. We may also keep information we must keep by law, such as payment records. Removing you from our lists does not delete data that advertising or social media platforms hold under their own policies. You can manage that with them directly.

We aim to respond within 45 days.

State privacy rights

Depending on where you live, your state's privacy law may give you rights such as the rights to access, correct, delete, or get a copy of your personal information, and to opt out of targeted advertising or the sale of personal information. Some of these laws apply only to larger businesses, or do not cover business contact information. We will honor the requests above no matter where you live, and we will not treat you differently for making one. If we cannot fully honor a request, we will tell you why. If your state gives you the right to appeal our decision, you can reply to our response to ask us to reconsider.

Client data we handle for our clients

Some personal information in client financial records belongs to our clients, and we process it for them. If your information appears in records a client shared with us (for example, you are an employee or vendor of one of our clients), please contact that client directly. If you contact us, we will pass your request to the client where appropriate.

11. Children's privacy

Our sites and services are for businesses and adults. They are not directed to anyone under 18, and we do not knowingly collect personal information from anyone under 18. If you believe someone under 18 has given us personal information, please email legal@83oak.com and we will delete it.

12. Links to other websites

Our sites may link to websites run by others, such as payment, scheduling, or social media services. This policy does not cover them. Please read their privacy policies before sharing information with them.

13. Changes to this policy

We may update this Privacy Policy from time to time, including when we add new offerings or change how we handle information. When we do, we will change the "Last updated" date at the top. If we make important changes, we will take reasonable steps to let you know, such as posting a notice on our sites or emailing you.

This policy is effective as of October 2, 2026.
